How to arrange catering for your event

You indicated on the Thames Suite booking form that you would like to offer catering for your delegates.  We have reserved the Welcome Area (adjacent to the teaching rooms) for you with a space for on-site catering where your delegates can gather for their break. 

In the meantime, if you have decided that you no longer want to offer on-site catering please advise us so we can release the Welcome Area for other users.

Please note: Eating and drinking is not allowed in any of our teaching rooms. 

Arranging your catering 

The IT Learning Centre (ITLC) team is unable to assist with arranging catering including providing quotes, booking or arrange arranging payments. You will need to book and pay for your catering directly with your chosen supplier.

We are also unable to set up or clear up catering. The recommended caterers offer a setup and clear away service as stated below. Please make sure to request it when making your order. If you book for delivery only, you will be responsible for setting up and clearing up your catering. – please allow sufficient time in your schedule for this.   

We recommend following the below steps to organise your catering:  

  1. Contact one of the suppliers below. You will need to book and pay for your catering directly.  
  2. If booking on-site catering, please request that the caterers set up and clear away your catering.
  3. After you have made your arrangements, please let the ITLC know which service you are using and the delivery timings by completing this form. 

If you need to make changes to your order, please contact the catering company direct. Please inform the ITLC of any changes to your catering delivery. 

 

Rewley House can supply a sandwich lunch. They can deliver and set up and clear away.
Note They cannot provide tea and coffee for morning and afternoon breaks.

If you order a sandwich lunch, you must request that is set up and cleared away as part of their service.

Compass is the Univerity’s approved catering service.
They can supply a sandwich lunch and provide tea and coffees for morning and afternoon breaks. They offer a ‘lay and leave’ service.

Booking is via Planon where you will need to enter your cost centre details. 
You must note that you require the “lay and leave” service.

If you wish to, you can use another catering supplier; however, if you use a delivery-only service, you will be responsible for receiving your delivery, setting it out, and clearing away. The ITLC team does not have the resources to set up and clear away.

As we are close to many cafés and restaurants, you may prefer to arrange your lunch off-site.

We are also close to a few university-based options including:

  • Rewley House offers a three-course lunch and coffee served in their restaurant in Wellington Square between 12.30 and 13.30. A table will be reserved for your group. The restaurant is a 5-minute walk away from Banbury Rd. It is quick and efficient and you can pay in advance by  Purchase Order.
  • The Mathematical Institute, about 2 mins walk,  have a café open to all University members. However, tables cannot be booked in advance (not sure how payment is arranged?)

 

There are two vending machines in the Welcome Area.  One for drinks and one for snacks. These accept cash and card. If you are a member of IT Services, please contact us about payment options for the drinks vending machines.

Tea and coffee can be ordered from Compass. Please get in touch with them to find out the minimum orders. Remember that the Welcome Area needs to be booked.

Once you have made your catering arrangements, please complete our form to advise us of what you have planned.
