Training management through CoSy

CoSy Logo

The Shared Training Management solution at Oxford provides a comprehensive suite of tools and services for managing training activities for non-matriculated and supplementary courses.

The CoSy platform is the University's implementation of the Accessplanit training management system. It offers an online self-service system for delegates to discover and manage courses and other learning activities. All students and staff with an Oxford single sign-on (SSO) can use CoSy.

The system supports in-person courses, online live courses and eLearning modules and is currently used by twenty training providers across the University. CoSy also provides integrations with services, including a payment gateway and data reporting. CoSy support and coordination are provided by the Training Mangement and Development team, who offer support, including onboarding new Training  Providers and organising training. The team also offers a chargeable service to administer learning activities such as eLearning on behalf of other groups.

If you are interested in using CoSy to administer your training, please contact cosy-support@it.ox.ac.uk for more information and charges.

CoSy is the University's online self-service system that University members can use with an Oxford Single Sign-On account.

It allows course participants to book, cancel, and make payments for courses in their own Dashboard.

The system provides training teams with a sophisticated course administration toolset. It streamlines the process of emailing delegates upon booking and completion of courses, as well as sending certificates and surveys. Additionally, the reporting features delegate progress tracking.

The system supports in-person courses, online live courses using Teams or, Zoom, and e-learning modules.

The system is hosted externally and has a Third-Party Security Audit and an accessibility statement.

There are over 70 CoSy administrators at the University who work across the following training teams:

  • Bodleian iSkills
  • CTL
  • Finance
  • Focus
  • HRIS
  • Digital Capabilities
  • Engineering Science
  • Estates
  • GLAM
  • Language Centre

The CoSy platform holds data about University members who have booked training with the participating Training Providers.  The Self-Service Training Data Reports Service allows approved staff to access training data and produce bespoke reports and analysis. This service is available to HR administrators, divisional and departmental administrators, Athena SWAN coordinators and training managers whose roles require them to report on training data. A service request needs to be submitted and approved to access this service.

The platform is shared across all participating Training Providers, and the coordination of those activities, including liaison with Accessplanit, is through the CoSy Hub. The Hub is available 08.30 – 17:00, Monday – Friday, excluding bank holidays and University closures.

CoSy Hub:

  • Provides a forum for discussing changes and improvements to CoSy
  • Is a centre of expertise in the use of the platform
  • Organises training in the use of CoSy by Training Providers
  • Co-ordinates the annual licencing of CoSy administrators
  • On-boards new Training Providers in the use of the platform

Training providers also have access to Accessplanit's dedicated Service Desk, available 09:00 - 17:00, Monday - Friday.

Delegates who have any questions about a particular course should, in the first instance, contact the training team offering the course. They are there to support delegates and help with any inquiries.

If delegates need further assistance with using CoSy, they can contact cosy-support@it.ox.ac.uk, which is managed by the Training Management Team. This service is available between 08.30-17:00, Monday to Friday, excluding bank holidays and University closures.

If you're looking to host your eLearning, the CoSy platform is a great option. If you're running an academic programme, the University’s VLE – Canvas – is the platform of choice for online learning; however, if you have eLearning that needs to be delivered to University members, particularly staff, CoSy is available.

If you're a Training Provider already using CoSy, you're all set to host your own eLearning

Otherwise, the Training Management team can host your eLearning for a setup and annual support cost.

If you are interested in using CoSy to manage the training activities of your University group at Oxford, contact cosy-support@it.ox.ac.uk

Please note that each training administrator has an annual license cost, which is paid for by each training group. It's important to keep this in mind when budgeting for your training programme.  The Training Management team also charges onboarding costs (prices on application).
