Before making your request for access, please ensure that you or the individual you are requesting access for has completed the ISDP course, as you'll need to confirm this during the process.
You'll also need to specify who the request is for - this can be yourself or someone else. Additionally, be sure to know the department or division for which you need the data, as well as the name of the person who will authorise your request.
Start the Service Request
- Select the large red button on the right-hand side of this page, 'Service Request for Compliance Reports.'
- Login with SSO. If you have more than one helpdesk role, select ‘self-service’.
- You will have a choice of several requests. Choose the 'Self-Service Compliance Training Data Reports' tile.
Complete the Service Request
- Use the drop-down arrow to select Compliance to confirm the report you requested.
- As the requester, your name and email address will be automatically added.
- Use the drop-down menu to select access to reports for a new user i.e., someone who doesn’t already have this specific report.
- Select who you are requesting the report access for. The field defaults to Myself. If you are submitting a request for someone else, use the dropdown menu and select Someone else and enter their name.
- Optionally, add your contact number.
- From the drop-down menu, add your department or college affiliation. Note, this is specific to the requester and not the report. This will lead to a further menu, if selecting Department your primary affiliation will normally be Department (Level 3). Then select the department.
- Read and tick the box for data governance.
Adding access details
- Select the General Compliance Report (without the Safety course).
- Choose Standard App.
- The People Data request field defaults to 'My Primary Affiliation'. If your request is different, you should select the appropriate level of people data from the drop-down menu and provide reasons why, if asked. Your primary affiliation refers to your own department, whereas choosing a different unit indicates a department that is not your primary. If you need data from more than one unit, first select the division that contains those departments, and then choose the specific departments within that division. You can also select one or more divisions as needed.
- Start typing the name of an authoriser and then select from the list. This is typically someone in a head of administration or finance role. If you hold one of these positions, request that someone of a similar or higher level authorises your request. Note, it is not possible to authorise your own request.
- Add any additional information you think may be pertinent to your request.
- Review and submit the request. If you need to alter your request, select Edit at the foot of the page.
- Once you have submitted your service request, it will need to be approved by your nominated person, and then we will need to do some administration work to give you access. This can take a few days. You can check on the progress of your request by going to "My Items" in IT Self Service.
Authorisation and fulfilment
- The authoriser will receive an email to approve or deny the request. If not acted upon within a month, the request will automatically be closed.
- Once approved, you will receive a fulfilment email with details about your service request.
- The email has links to short instructional videos about accessing Power BI, opening the report, filtering, and exporting the data. Please watch these before you try to access the data.
- Once access has been granted, you do not need to do this task again unless you need to access a different department.
- If you no longer require access to the data, for instance, if you are leaving your role, please submit a request to remove access.
